This Privacy Policy explains how Netball Fun League (Cheltenham) Ltd, trading as Netball Fun League (“we”, “our”, “us”) collects, processes, uses, and stores your personal information. We comply with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

a) Contact and communications information including your contact details (including name, gender, email address, telephone number and postal address)
b) Records of your interactions with us such as telephone conversations, emails
c) Records of any “Sessions/Classes” you may have attended that were hosted by us
We only collect personal data necessary to provide you with our services. This may include:
a) Administering your membership and fixtures
b) Managing communications regarding payments, fixtures, queries, complaints, or events
c) Informing you of important updates (e.g. cancellations, venue changes)
d) Notifying you when registrations open for new seasons
e) Sending marketing communications, but only if you have explicitly consented
We do not sell your personal data. It will only be shared as follows:
- With Netball Fun League employees, for the purposes of running the league and delivering sessions/classes
- With trusted third-party service providers (e.g. website hosting, IT support, payment processors), under strict confidentiality
- With your team organiser, who can view/manage their team’s details through the Members Login. Team members can only access their own data
We retain your personal information only as long as necessary for the purposes described. Typically:
- While you are an active player or participant
- Up to six years after your last interaction with us (for accounting, tax, and record-keeping purposes)
- Longer where required for legal or regulatory reasons
When information is no longer needed, it will be securely deleted or anonymised.
We take the security of your personal information seriously. Measures include:
- Data stored on secure, encrypted systems, with access limited to authorised staff
- Website delivered via HTTPS for encrypted communication
- Password-protected internal systems and staff training on GDPR responsibilities
- In the event of a data breach, we will notify you and the Information Commissioner’s Office (ICO) within 72 hours where required

We may occasionally take photographs or videos of league activity (e.g. winners, runners-up, player of season awards, tournaments) for marketing purposes, both online and offline. If you do not wish to be included, please notify us via the Contact Us page. Photography or videography by third parties is not permitted during our leagues unless agreed in advance.
We may update this Privacy Policy from time to time. Updates will be posted on this page, with a revised “Effective Date”. Where significant changes are made, we will also notify you by email.
