This Privacy Policy has been produced to make everyone aware of how we collect, process, use and store your personal information. Under current GDPR these are the key principals which Netball Fun League have to follow when processing personal data:
- Data is used lawfully, fairly and in a transparent way
- Collected only for valid reasons explained to you
- Accurate and kept up to date
- Kept only as long as necessary
- Is kept securely
We may collect your personal data in the following ways:
a) Directly from you, when you use the “Contact Us” form on our website, when you fill in the “Registration Form” on our website and subsequently join and take part in a Netball Fun League, when you interact with us during your time as a member of a team via email or sign up for any “Sessions/Classes” that we may run
b) From someone else who may have purchased a “Session/Class” on your behalf via our website
We may collect the following types of personal data about you:
a) Contact and communications information including your contact details (including name, gender, email address, telephone number and postal address)
b) Records of your interactions with us such as telephone conversations, emails
c) Records of any “Sessions/Classes” you may have attended that were hosted by us
We will only collect personal data that we need in order to successfully provide you with a service. We may use your personal data for the following purposes:
a) To administer your membership with us, informing you of your fixtures
b) Manage our relationship with you via email in matters such as dealing with queries regarding payments, fixtures, complaints, events, classes/sessions
c) Inform you via email and/or SMS regarding information such as change of venue, fixture or class/session cancellation
d) Inform you when registrations are open for a new season
We do not sell your private information to any third party
a) Personal data will only be shared by Netball Fun League employees for the purposes of administering your membership with us or providing “classes” or “sessions” purchased from via our website
b) A Team Organiser can view and control their own team’s personal information via the website “Members Login” link (with their own password), a Team Member can only view and control their own data via the website “Members Login” link (with their own password)
The duration for which we retain your personal information is for as long as is necessary for each purpose we use it for. Most personal information will be kept for as long as you are actively a member of a current/playing team in one of our leagues or if you are attending a class or session purchased from our website. For most information this means for a period of six years after your last interaction with us (for accounting, tax reporting and record-keeping purposes). In addition to this your personal information may be retained for legal purposes in accordance with the usual commercial practice and regulatory requirements.
We take the security of all personal information collected very seriously. We have appropriate physical, technical & organisational procedures in place:
a) Our database is protected by the appropriate encryption required to ensure it’s safety. Data is stored on encrypted drives protected by fingerprint scanning
b) Our website is delivered to users via Hypertext Transfer Protocol Secure (HTTPS). HTTPS enables encrypted communication and secure connections between the user and the primary web server c) Internal IT/computer systems are all password protected and internal drives are encrypted. Employees are trained in order to ensure they fully understand the importance of GDPR
d) Should a data breach be detected, this information should be reported to you and the appropriate regulator within 72 hours of becoming aware of the breach, where feasible
Cookies are text files containing small amounts of information which are downloaded to your device when you visit a website. Cookies are then sent back to the originating website on each subsequent visit, or to another website that recognises that cookie. Google Analytics
We use Google Analytics to help us understand how our website is being used and ultimately for us to improve it
We will not store or collect your payment card details. That information is provided directly to our third-party payment gateway which is STRIPE whose use of your personal information is governed by their Privacy Policy. Their Privacy Policy can be viewed at https://stripe.com/gb/privacy
As we do not store or collect any payment details you will be required to re-enter your payment details every time you make payments or book classes/sessions
Our website may contain links to other sites that are not operated by us. If you click on a third party link, you will be directed to that third party’s site. We strongly advise you to review the Privacy Policy of every site you visit. We have no control over and assume no responsibility for the content, privacy policies or practices of any third party sites or services
Under certain circumstances, by law you have the following rights to:
a) Request a copy of the personal data that we hold about you
b) Access and amend your personal data (each person can access this via their account via the Members Login link)
c) Request the erasure of your personal data in certain limited circumstances (see below)
d) Object to our processing of your personal data
e) Request the transfer of your personal data to another party
Please note that we may ask you to verify your identity before responding to such requests. The above rights are not absolute, we may be entitled to refuse requests where there are exceptions. Once we have all the information necessary to respond to your request we’ll provide your information to you within one month. This timeframe may be extended by up to two months if your request is particularly complex.
Netball Fun League may from time to time photograph or video participants in our leagues (especially for the League Winners / Runners Up and Cup Finals). This material will be used solely for marketing purposes both on and offline. Should participants not wish to be photographed or videoed, they should make this known to Netball Fun League via the Contact Us page – click here. Photography or Videography by anyone other than Netball Fun League is prohibited unless by prior agreement.
We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page. We will let you know via email prior to the change becoming effective and update the “effective date” at the top of this Privacy Policy. You are advised to review this Privacy Policy periodically for any changes. Changes to this Privacy Policy are effective when they are posted on this page.
